We guide students through every step of their journey — from shortlisting universities to visa approval — and we're looking for a detail-oriented Admission Specialist to join our growing team.

Role Overview

The Admission Specialist will be the backbone of our admissions process — managing university applications, liaising directly with international institutions, tracking offer letters, and guiding students/parents through options at every stage. This is a high-ownership role requiring strong organizational skills, excellent written communication, and the ability to manage multiple student files simultaneously under deadlines.

Key Responsibilities

Application & Offer Management

  • Track application status end-to-end and follow up proactively with institutions
  • Receive, verify, and process offer letters (conditional and unconditional)
  • Maintain accurate records of deadlines, document checklists, and application stages for each student

University & College Communication

  • Act as the primary point of contact with university admissions offices and international student recruitment teams
  • Resolve queries related to documentation, eligibility, deferrals, and conditions on offer letters
  • Build and maintain strong working relationships with university representatives and in-country agents

Student & Parent Counselling

  • Present students with suitable university/course options based on their academic profile, budget, and career goals
  • Explain offer letter conditions, scholarship opportunities, and next steps clearly to students and parents
  • Guide students on document preparation (SOPs, LORs, transcripts, financial documents) required for applications

Coordination & Process Management

  • Coordinate with the counselling, visa, and finance teams to ensure a smooth handoff at each stage
  • Maintain CRM/database entries with up-to-date, accurate application and offer status
  • Ensure compliance with university-specific and country-specific admission requirements
  • Prepare weekly/monthly reports on application pipelines, conversion rates, and pending actions
Requirements
  • Bachelor's degree in any discipline (preference for International Relations, Business, or related fields)
  • Prior experience in study abroad consulting, international admissions, or student counselling is a strong plus
  • Excellent written and verbal communication skills in English
  • Strong organizational skills with the ability to manage multiple applications/deadlines simultaneously
  • Working knowledge of MS Office/Google Workspace; CRM experience preferred
  • Familiarity with application portals (UCAS, Common App, university-specific portals) is an advantage
  • Ability to work independently and as part of a cross-functional team
  • Attention to detail, especially when handling official documents and offer conditions
Good to Have
  • Knowledge of admission requirements across New Zealand, UK, USA, Canada, Australia, or Europe
  • Prior exposure to visa documentation processes
  • Multilingual ability (regional languages) to support diverse student base
What We Offer
  • Competitive salary + performance incentives
  • Opportunity to work directly with international universities and diverse student profiles
  • Growth path into senior counselling/admissions leadership roles
  • Collaborative, fast-paced work environment
